Who we are

What we collect when you book
Whether you book by phone, by email or through the Data Yorkshire app, we collect what we need to get you there:
- your name and phone number, and your email address if you give it to us
- pick-up and drop-off addresses, the date and time, and the number of passengers
- flight details for airport pick-ups
- anything you tell us so we can help, such as needing a wheelchair-accessible car or travelling with an assistance dog
- a record of the journey, the fare and how it was paid
- emails and messages you send us, and any complaints
Using the app
When you create an account in the app, we hold your name, phone number, email address and booking history. If you allow it on your phone, the app uses your location to find your pick-up point and to show your car on its way. You can turn location access off in your phone's settings at any time and type your address instead.
If you pay in the app, your card details are handled by the payment provider, not by us. We never see or store your full card number.
Using this website
This website doesn't use cookies, analytics or tracking, and it has no forms. Our hosting provider, Cloudflare, processes basic technical information such as your IP address so it can deliver the pages and protect the site from attacks.
Why we use your information
- To carry out your booking. We need your details to send a car, get you to the right place and take payment. This is necessary for our contract with you.
- To meet our legal duties. As a licensed private hire operator, we must keep records of bookings and journeys and share them with the licensing authority or the police when the law requires it.
- To keep people safe and sort out problems. We use journey records to deal with complaints, lost property and disputes, and to protect our drivers and passengers. This is in our legitimate interests.
- To use your location in the app. We only do this with your permission, and you can withdraw it at any time.
We don't send marketing messages, and we never sell your information.
Who we share it with
- the driver doing your journey, who gets only the details needed for the job
- Autocab, which provides our booking and dispatch system and the app
- payment providers, to take card payments and make refunds
- Cloudflare, which hosts this website
- the council's licensing team, the police or other authorities, when the law requires it
- our insurers and professional advisers, when that's needed to deal with a claim or a dispute
Some of these providers may process information outside the UK. When they do, they must protect it with safeguards recognised under UK law, such as the UK International Data Transfer Agreement.
How long we keep it
We keep booking and journey records for as long as our operator's licence requires, and then delete them. If a record is needed for a complaint, an insurance claim or a legal case, we keep it until that's settled. If you delete your app account, we remove your account details, but we still keep the booking records the law requires us to hold.
Your rights
You can ask us to:
- give you a copy of the personal information we hold about you
- correct anything that's wrong or out of date
- delete your information, where we don't need to keep it by law
- limit how we use it, or stop using it, in some circumstances
- send your information to you or another organisation in a common format
It's free to ask, and we'll reply within one month. Email bookings@
Complaints
If you're unhappy with how we've handled your information, please tell us first and we'll put it right if we can. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
